- Ā Company Shared Links Dashboard is available from the Company Projects page. From the left panel click Shared Links to see a list of shared links from Projects/Scenarios across the company's space. Users will only see links pertaining to projects for which they have existing edit access too.
- Project Shared Links Dashboard is available from a project's Project Overview page. From the left panel click Shared Links to see all shared links for all Scenarios in the Project. Users must have edit access to the Project in order to see the shared links on the dashboard.
- Scenario Shared Links Dashboard is available from within a Scenario. From the top right dick on Export/Share ā Open Dashboard (the blue button) to display all shared links for the Scenario. Users must have edit access to the Project in order to see the shared links on the dashboard.
Dashboard Features
The Shared Links Dashboard provides a graph displaying usage/activity and a table listing all existing links (Active and Expired) under the corresponding levels: Company, Project or Scenario. There are minor differences between the three, read on for specific differences.
-
Summary Graph: displays the number of views of all listed shared links over the past three months.
- Hover your mouse over a data point (1) for the exact number of views within the date range.
-
Summary Table: is a sortable/filterable list of links -active and expired- with data about each link.
- Company and Project level Shared Links Dashboard's tables can be filtered or sorted on any column (2), while Scenario level only allows for sorting on all columns, but not filtering.Ā
- For a given link clicking the three dots button (3) on the end of the row displays an options menu including: Link activity, View link, Edit link, Copy link, Delete lin, Open Project, and Open Scenario. More on using these actions in the sections below
Link Activity
From the 3 dots menu in the Shared Links Dashboard table you can track the usage of shared links as long as they are Active and not Expired. The Link Activity side sheet contains a detailed log of when the link was visited, the device used, and the location from where it was viewed.
View Link
From the 3 dots menu in the Shared Links Dashboard table you you can test a link by clicking View Link, which will open the link in a new tab. Active links will open the Scenario while Expired links will open a "We couldn't find this link." type message page.
Edit Link
From the 3 dots menu in the Shared Links Dashboard table clicking Edit link allows you to edit the settings of the link for both Active and Expired links. Edit options differ slightly when accessed from the Company/Project level of the dashboard versus the Scenario level version. Editing from the Scenario has a few more options as mentioned below.
Clicking Edit link will launch the Edit link side sheet. From the Share Link tab (1 -Scenario level only) you can apply an expiry date (2) or change the existing expiry date from the date dropdown to reactivate expired links as well as extend or reduce the active life of the link.
Turning on Milestone presentation mode (3) allows you to limit the range of milestones viewable via the link by selecting start and end milestones from the respective drop downs. Click Confirm to save any changes. Note that Milestone presentation modeĀ is not available from the Company and Project level Shared Links Dashboards, only from the Scenario level dashboard.
š”Note: setting the expiry date to a paste date will immediately disable the link (upon clicking Confirm).
The Visual Settings tab (Scenario level dashboard only) lists the visual properties that are applied to the Scenario when using the link. If the listed values for the visual properties differ from those currently applied to the Scenario in your active session you can overwrite them to match your currently applied visual settings by clicking the Use Current Settings button. Click Confirm to save any changes. Next time the link is used, the Scenario will load with the newly applied visual settings.
From the 3 dots menu in the Shared Links Dashboard table clicking Copy link will automatically copy the link's URL to your clipboard, making it available to paste as text for sharing via email, chat etc..
Delete Link
From the 3 dots menu in the Shared Links Dashboard table clicking Delete link will launch a prompt requiring the user to confirm the delete action. Anyone attempting to use a shared link that has been deleted will no longer be able to use the link to access the Scenario. The shared link will also disappear from the Shared Links Dashboard's list of links table along with its visit/usage history date. Once deleted, shared links cannot be restored. Users can only delete shared links they have created themselves, only administrators can delete links they did not create.
Note: Instead of deleting shared links, consider deactivating them by updating the expiry date to a past date. This will maintain the visit/usage history data, but will no longer give access to the Scenario.
Open ScenarioĀ
When accessing the 3 dots menu in the Shared Links Dashboard from the Company level or Project level, users will have an additional option to Open Scenario, which when clicked will open the Scenario in a new tab. Note that Open Scenario is not the same as View Link, or using Copy Link and navigating to the copied URL. Open Scenario opens the Scenario with the intent to edit -if no other editors are active.Ā
Open ProjectĀ
When accessing the 3 dots menu in the Shared Links Dashboard from the Company level, users will have an additional option to Open Project, which when clicked will open the Project Overview page of the Scenario's parent Project.
